The OSM Home tab consists of three sub-tabs being Dashboard, Approval and Notifications:
The Dashboard shows the currently published messages and media. The color of the items on the dashboard will reflect the current approval state. See the Message Status section for more information on the various message status and the associated color codes.
The Approval tab and notifications tab are similar in that they both show notification as subscribed to in the EnGage Content Manager. However, the Approval tab will only show notifications specifically related to the approval workflow.
The approvals tab shows all notifications
related to the approval workflow and is visible to all OSM users when the
approval workflow option is enabled in the Admin->Settings tab. Notifications
are listed chronologically from newest (top) to oldest (bottom).
Name: The name of the message being referenced
Notification Type: The type of notification as it related to the event that occurred such as Awaiting Approval, Approved, or Rejected.
Source: The source from which the notification event occurred. In most cases the source will be the username that performed the action such as submitting a message for approval.
Date: The date when the notification occurred.
OSM User Notifications: The notifications tab will show information about approved and rejected messages. Only OSM users subscribed to the “OSM Message Approved” and “OSM Message
Rejected” notifications within EnGage Content Manager will receive these notifications. Each notification will have a message name and link in the Summary field. Clicking on the link will open the editor for the message. The message can then be edited, saved (for later approval) or saved and submitted for approval.
OSM Approver Notifications: The approval tab will show information about messages that have been submitted for approval. The OSM Approver will only see notifications and messages associated with the sites to which the user is assigned in the Admin->Sites tab. Users must be subscribed to the “OSM Message Awaiting Approval” notification within EnGage Content manager to receive these notifications. Each notification will have a message name and link in the Summary field. Clicking on the link will open the message editor for the message. The message can then be approved for use or rejected. The OSM approver can also edit a message before approving or rejecting the message. Only the latest relevant approval notification will be visible for each message. If an OSM user submits a message for approval, then makes a change and resubmits the message, only the second approval notification will be visible.
Note: Users must be subscribed to the Dashboard notifications within the EnGage Content Manager to receive the notifications on the notifications tab.
The email notifications for “OSM Message Approved”, “OSM Message Rejected” and “OSM Message Awaiting Approval” are not currently supported. Subscribing to the email notifications will result in receiving blank emails.
HINT: When the Approval Workflow is enabled, be sure there are enough Approval Users that are assigned to the various segments of the network to avoid cases where messages are submitted for approval but there are no approvers with access to that segment of the network. In this scenario, message could go unapproved.
